Terms and Conditions — Vehicle Rental Agreement
We appreciate your choice of our vehicle rental services. Below, we present our complete rental terms and conditions to ensure a transparent and satisfactory experience for our customers. By accepting our rental services, you agree to comply with the terms outlined below.
1. Rental Period & Return
- The rental duration and agreed-upon return date/time are specified in the rental contract. The vehicle must be returned to the designated location before the agreed-upon time and date.
- A grace period of 30 minutes is allowed past the scheduled return time without penalty. Returns beyond this grace period are subject to late return charges (see Section 5).
- Extensions must be requested before the original return time and are subject to vehicle availability and applicable rate adjustments. Unapproved extensions will be treated as a late return.
- Early returns do not guarantee a partial refund of unused rental days unless otherwise stated in the rate plan at time of booking.
2. Vehicle Condition
- The vehicle must be returned in the same condition as it was delivered, allowing for normal wear and tear.
- Any new damage (interior or exterior), missing parts/accessories, or mechanical issues caused by misuse will be assessed at return and may result in repair charges, diminished-value charges, and/or loss-of-use charges for the days the vehicle is out of service.
- A pre-rental inspection report (with photos/video) will be provided or made available to the renter at pickup. We recommend the renter conduct their own inspection and document any pre-existing damage before leaving the lot.
- Smoking, vaping, and pets are not permitted in the vehicle unless explicitly authorized. Violation will result in a deep-cleaning/deodorizing fee.
3. Mileage Policy
- Unless otherwise indicated on the rental agreement, rentals include unlimited mileage.
- If a mileage cap applies to a specific rate plan or vehicle category, the limit and the per-mile overage charge will be disclosed at the time of booking and stated on the rental agreement.
4. Fuel Policy
- Standard policy is Full-to-Full: the vehicle is provided with a full tank and must be returned with a full tank.
- If the vehicle is returned with less fuel than provided, a refueling charge will apply based on the missing fuel plus a refueling service fee, as per our current published rates. Presenting a fuel receipt from the rental period may reduce or waive this charge.
- An optional Prepaid Fuel plan is available at booking for renters who prefer to return the vehicle with any fuel level (no refund for unused fuel).
- Using the incorrect fuel type will result in the renter being responsible for all towing, draining, and repair costs.
5. Cleaning
- Vehicles must be returned in reasonably clean condition (free of trash, stains, odors, sand, and excessive dirt).
- A cleaning fee will apply for excessive dirt, biohazard contamination, smoke odor, pet hair, or any condition requiring service beyond standard turnaround cleaning.
6. Late Returns
- Returns beyond the grace period (Section 1) will be charged at an hourly rate up to a defined cutoff; beyond that cutoff, a full additional day will be charged at the prevailing daily rate.
- If a delay is anticipated, the renter must contact us as soon as possible to request an extension or report the circumstance. Unreported and unreturned vehicles beyond 24 hours past the due date/time may be reported to local authorities as unrecovered property, consistent with applicable law.
7. Security Deposit & Payment
- A security deposit (by credit card hold) is required at pickup. The amount depends on vehicle category and is disclosed at booking and at the counter.
- The deposit hold is released after the post-return inspection confirms no outstanding charges, typically within 3–10 business days depending on the renter’s bank.
- A valid credit or debit card in the renter’s name is required. Some vehicle categories may not be available with debit-card-only payment.
8. Driver Requirements & Additional Drivers
- The renter must hold a valid driver’s license, meet the minimum age requirement for the vehicle category, and provide any other documentation required at pickup.
- Only the renter and any drivers explicitly listed and authorized on the rental agreement may operate the vehicle. Unauthorized drivers void insurance/damage coverage for any incident that occurs under their operation.
- Additional authorized drivers may be added for an additional daily fee, where applicable.
9. Insurance & Liability
- Optional protection products (Collision Damage Waiver, Supplemental Liability Protection, Personal Accident Insurance, etc.) may be purchased at the time of rental. Coverage details, exclusions, and deductibles will be explained before purchase.
- Renters are encouraged to review their personal auto insurance policy and credit card rental benefits, as these may already provide coverage.
- The renter remains responsible for any damage, loss, or liability not covered by purchased protection products or applicable law.
10. Tolls, Fines, and Citations
- The renter is responsible for all tolls, parking violations, traffic citations, and other penalties incurred during the rental period, plus an administrative processing fee where applicable.
- Where an electronic toll device is provided in the vehicle, toll usage will be billed automatically to the card on file unless declined at pickup.
11. Geographic Restrictions & Prohibited Use
- The vehicle may not be driven outside the geographic area specified in the rental agreement without prior written authorization.
- Prohibited uses include: off-road driving, towing, subletting, racing, driving under the influence, transporting hazardous materials, and any use in violation of local law. Any of these voids all insurance/damage protection.
12. Cancellations and Refunds
- Cancellations must be made in advance of the scheduled pickup time. Refund eligibility depends on the notice period:
- Cancellations made 48+ hours in advance: full refund of any prepaid amount.
- Cancellations made within 48 hours of pickup: subject to a cancellation fee or partial refund, as disclosed at booking.
- No-shows: generally non-refundable, unless covered by a flexible-rate plan.
- Please consult our customer service team for the specific terms applicable to your reservation type (prepaid vs. pay-at-counter).
13. Accident, Theft, or Road Incident Report
- In the event of an accident, theft, or road incident, the renter must notify us immediately and, where required by law, file a report with local police.
- The renter must not admit fault, negotiate settlement, or make repairs without our authorization.
- We will provide guidance on next steps and coordinate with insurance providers as needed.
14. Return Inspection
- A vehicle inspection will be conducted at the time of return, comparing the vehicle’s condition, fuel level, mileage, and accessories against the pickup inspection record.
- Any discrepancies will be documented (photos/notes) and communicated to the renter, along with any resulting charges, within a reasonable time after return.
15. Items Left Behind
- The renter is responsible for removing all personal belongings before returning the vehicle. We are not liable for items left in the vehicle.
- If items are recovered, reasonable efforts will be made to contact the renter; storage and return shipping costs (if requested) are the renter’s responsibility.
16. Roadside Assistance & Breakdowns
- In case of mechanical failure not caused by renter misuse, contact our roadside assistance line immediately. We will arrange repair, towing, or vehicle replacement as appropriate.
- Optional roadside protection plans may be available for purchase at booking, covering services such as lockout assistance, jump-starts, and flat-tire changes.
17. Modifications to These Terms
- We may update these terms periodically to reflect operational or legal changes. The version in effect at the time of booking governs that rental.
